• Your Filing System – Boring but Necessary

I love filing, some people call me the Digital Declutterer|! My business uses reliable and efficient systems for daily operations is a statement which is important to the fundamentals of working with systems. You may have different filing systems, but fundamentally they work in similar ways if they are on the cloud.

We use Teams and SharePoint but you can also use Google or you may still not have your files in the cloud and use Shared Drives.

Join my session on 20th May at 1.30pm

In this session, we take a step back to focus on one of the most fundamental aspects of your business: how and where your documents are stored. Together, we explore your current approach—whether files sit across emails, desktops, shared drives or SharePoint—and identify what’s working and what’s creating friction. The aim is to build a clear picture of your document landscape, understand how your team finds, saves and shares information, and highlight any risks or inefficiencies along the way. By the end of the session, you’ll have a simpler, more structured way of thinking about document storage that supports productivity, collaboration and long-term control.

      • This is such an important topic 👏

Good systems and clear document storage often get overlooked, but they make such a huge difference to productivity, collaboration, and reducing day-to-day frustration. It’s amazing how much time and stress can be saved when people can actually find what they need quickly and confidently!

Sounds like a really valuable session for businesses of all sizes.

Filing was one of the early systems I nailed down – after a rather fraught experience with “Zipdrive” disks -IYKYK – and losing work due to poor filing habits, since then I vowed to never lose ANYTHING. Core to my system are the folders structure, With Work being on separate physical drives to personal files. Then there’s a raid backup of PC drives, and NAS to network raid array. Plus offsite to cloud on all essential mission critical and current files encrytped backups and a “Cold storage” for project files, which get put on the shelf. I have an arhive of work back to the early 2000s and could probably put my hand on any email, file or artwork from that time within an hour, tops.

The system is robust, suriving many iterations and system upgrades and with revese date on all folders YYMMDD – [FILENAME] and using https://www.voidtools.com – free search for Windows “Eveything” – Once running and drives are indexed you will never hav to feel the pain of using Windows search ever again. Plus it’s a stand alone file if you wanna run it and not install it. Installing allows for context clicks and other integrated stuff, but I tell everyone to just use it instead of Winsearch which has and is always going be woeful.

And that’s the joys of my filing system!
